Executive Staff Assistant

As an Executive Staff Assistant, you will:
Serve as a point of contact for input from DOE staff and outside groups to the office concerning policy and administrative positions including efforts related to the integration, coordination, and implementation of the organization's initiatives, official files and records disposition and meeting coordination. Manage the daily scheduling of the Division Director's activities and itinerary including coordinating meeting times with necessary staff, preparing meeting materials such as briefings and presentations and communicating last minute changes and/ or modifications based on Division Director's workload priorities and managing travel reservations for management and staff. Develop procedures and guidelines on content and format and manages all processes of comment preparation and internal review, ensuring the communications reflect the organization's positions regarding treatment of sensitive subjects. Conduct studies and analyses of activities to determine efficiency and utility of internal operating procedure by collecting and analyzing data from various sources including program financial plans, budget data and expenditures to determine whether procedures are contributing effectively and efficiently to the accomplishment of missions and programs, identifying potential conflicts and recommending changes. SPECIALIZED EXPERIENCE REQUIREMENTS:

Experience assisting in the formulation and execution of policies for an administrative program office; handling large volumes of written and verbal correspondences including confidential and sensitive material;managing and providing assistance to the management of calendars, meeting coordination, travel coordination and budget reporting for a department or program; and evaluating organizational programs and recommending improvements. Experience providing advice and guidance to internal and external stakeholders on department policies and programs; formulating and executing policies for an administrative program office independently or with little supervision; responding to large volumes of written and verbal correspondences including confidential and sensitive materials, managing the scheduling, budget, and travel coordination for a departments management and staff; and coordinating the implementation of new administrative policies and procedures in an organization. Knowledge of the principles, practices, methods, and techniques of an organization's planning processes, and other program requirements in order to oversee program activities and evaluate, develop, interpret, and provide programmatic guidance on implementation methods for requirements and systems. Skill in applying analytical and evaluative methods and techniques to resource management and organizational functions. Expert knowledge of standard administrative practices and procedures to analyze work processes and identify, analyze, design, and implement technically sufficient solutions to problems that improve effectiveness and efficiency of organizational structure, administrative procedures, or work processes. Experience refers to paid and unpaid experience. Examples of qualifying unpaid experience may include:
volunteer work done through National Service programs (such as Peace Corps and AmeriCorps); as well as work for other community-based philanthropic and social organizations. Volunteer work helps build critical competencies, knowledge, and skills; and can provide valuable training and experience that translates directly to paid employment. The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
